How to filter and sort records in Evalato
Filters / Columns
Evalato gives you full control over how you view your records — you can filter, sort, pin, and resize columns, and choose exactly what information is visible.
How to filter records
There are two ways to filter records in Evalato.
Click on the vertical Filters button on the right side of your screen. This will open the filter options you have available. Each option has an arrow button that opens up your filtering options.
You can also filter records directly from any column header. Click the funnel icon on a column header to open the filter options for that column. Select a filter type from the dropdown, enter your value in the search field, and the list will update accordingly.
Note that you can filter by any form field, except long-text questions, videos, and other bulky field types, which aren't shown as columns.
Clearing filters
To remove all active filters at once, click the Clear filter button that appears at the top of your list when a filter is active — it also shows how many filters are currently applied. To remove a filter for a specific column only, open that column's filter and click Reset.
How to sort records
Click the three-dot menu on any column header and select Sort Ascending or Sort Descending to sort your records by that column.
- Sort Ascending — sorts records from lowest to highest (A–Z for text, oldest to newest for dates, lowest to highest for numeric values).
- Sort Descending — sorts records from highest to lowest (Z–A for text, newest to oldest for dates, highest to lowest for numeric values).
To remove sorting, open the same menu and select Clear Sort.
Pin a column
Click the three-dot menu on any column header and select Pin Column to keep it fixed in place while you scroll horizontally. You have three options:
- No pin — removes any pinning from the column.
- Pin left — pins the column to the left side of the table.
- Pin right — pins the column to the right side of the table.
Resize columns
From the three-dot menu, select Autosize This Column to fit that column to its content, or Autosize All Columns to adjust every column at once.
Show and hide columns
Select Choose Columns to open the column panel, where you can check or uncheck any column to show or hide it in your list. You can also drag and drop columns using the grid icon next to each name to reorder them.
Reset columns
Select Reset Columns to restore the default column layout.
Grouping records
Available in Registrations and Entries, row grouping lets you organize your records by a shared field — for example, grouping registrations by Country or entries by Category.
To group records:
- Open the vertical Columns button on the right side of your screen.
- Find the field you want to group by in the column list.
- Drag it into the Row Groups box.
Your records will collapse into groups based on that field. You can drag more than one field into Row Groups to create nested groups.
To remove a grouping, drag the field back out of the Row Groups box, or clear it from the box directly.
Aggregating values
Available in Registrations and Entries, the Values section lets you calculate totals and other statistics across your records — either across your whole list or within each group set up in Row Groups.
To add a value aggregation:
- Open the Columns panel.
- Drag the field you want to calculate into the Values box.
- Evalato applies a default aggregation (such as count or sum) based on the field type. Click the aggregation to choose a different calculation — sum, avg, max, min, count, first, and last are available depending on the field.
You can drag more than one field into Values to see multiple calculations side by side.
Remove a value by clicking the × next to it in the Values box.
Using Pivot Mode
Available in Registrations and Entries, Pivot Mode turns your Row Groups and Values into a summarized pivot table — useful when you want a clean statistical view instead of a full record-by-record list.
To use Pivot Mode:
- Open the Columns panel.
- Set up your Row Groups and Values as described above.
- Toggle Pivot Mode on at the top of the panel.
With Pivot Mode on, the field list becomes disabled (your Row Groups and Values selections drive the table instead), and a Column Labels section appears. Drag a field here to break your Values out across columns by that field — for example, group by Status in Row Groups, put Category in Column Labels, and see a count for each status broken down by category.
Toggle Pivot Mode off at any time to return to the standard record list with your Row Groups and Values still applied.
IMPORTANT: Evalato remembers your filter, sort, column, grouping, and pivot settings between sessions, so your view stays exactly as you left it.
