Data access setting

When creating your application forms, most fields you add to a form have the Data access option, where you can set who gets to see this field and the information provided with it.

Fields marked with "Admins only" will only be visible to members of your organization in Evalato. These fields are not seen by program judges, when applications are made public, during public voting, and when the application is exported in PDF format.

Data access "Admins and Judges" means the fields will not be visible when the applications are made public and during a public voting round.

Text field

Option that allows the applicant to enter shorter text. You can limit the number of characters for that field up to a maximum of 500 characters (spaces count), as well as edit who can see the data that the applicant has entered. Data access setting available, so you can choose who can see data entered in the field.

"Use as application name" option available.

Paragraph text

Option that allows the applicant to enter longer text. You can limit the number of words or characters for that field up to 10 000 characters (spaces count), as well as edit who can see the data that the applicant has entered. Data access setting available, so you can choose who can see data entered in the field.

Question

Option that allows you to add a question with Single answer or Multiple answers allowed. You can edit who can see the data that the applicant has entered.

Thumbnail

Option that allows the applicant to upload a single small image that represents the submission on the lists. Only a single instance of this field can be added to a submission form. The thumbnail can be up to 2 MB, 300×300px recommended size, allowed formats are png, jpg and gif. It’s recommended that you provide this information in the field's description.

Single image

Option that allows the applicant to upload a single image, up to 10 MB, allowed formats are png, jpg and gif. It’s recommended that you provide this information in the field’s description.

Gallery

Option that allows the applicant to upload multiple images, up to 10 MB each, allowed formats are png, jpg and gif. It’s recommended that you provide this information in the field’s description. You can limit the number of items for this field using the Max items allowed setting.

Media embed

Option that allows the applicant to add rich media links to videos, images, online articles, web pages, even Google Maps locations. Links to such items are then automatically embedded into the application. You can limit the number of items for this field using the Max items allowed setting.

Video field

Option that allows the applicant to upload a video in HD, in a range of formats. The video is transcoded and hosted privately and securely.

File upload

Option that allows the applicant to upload multiple files, up to 20 MB each. It's recommended that you provide this information in the field’s description. You can limit the number of items for this field using the Max items allowed setting.

Links

Option that allows the applicant to add multiple links to pages, files, docs, etc. You can limit the number of items for this field using the Max items allowed setting.

Name

Option that allows the applicant to enter their first, last name and prefix. The field can be customized to serve a different purpose.

Email

Option that allows the applicant to enter their email.

"Pre-fill from registration" option available.

Phone number

Option that asks the applicant to enter a phone number.

"Pre-fill from registration" option available.

Job title

Option that allows the applicant to enter their job title. The field can be customized to serve a different purpose.

"Pre-fill from registration" option available.

Company

Option that allows the applicant to enter the name of their company. The field can be customized to serve a different purpose.

"Use as application name" option available.

"Pre-fill from registration" option available.

Address

Option that allows the applicant to enter an address. This option has multiple sub-fields (for Street, City, State, Postal code, and Country). The fields can be customized to serve a different purpose.

"Pre-fill from registration" option available.

Country

Option that allows the applicant to select their country from the list of countries.

"Pre-fill from registration" option available.

Waiver

Option that allows you to add all sorts of consent forms like terms of service, agreements,  policies, etc, that the applicant has to agree to/confirm/acknowledge. You can add multiple Waiver fields for the different things you'd require the applicant to agree to/confirm/acknowledge, for example, you can add a Waiver field where the registrant is asked to agree to receive your program's newsletter.

Note that you can also choose whether to have waiver text expanded by default for applicants to view or have them open it for viewing with a click.

Section break

Option that allows you to separate different parts of the application form, using text, for example, keep the main fields above the Section break field, and the optional fields under it. This option does not allow applicant input.

Text block

Option that allows you to enter additional text for the applicant to see. The text can be formatted and include images hosted externally. This option does not allow applicant input.
