The following article is intended to help program applicants work on, save, and submit applications through Evalato’s Applicant portal.
What is Evalato’s Applicant portal?
Evalato’s Applicant portal is where you can work on your program entry or entries, save them as draft, and submit them for review to the program organizer.
Logging to the Applicant portal
If you have registered for a program in Evalato, you can access the Applicant portal in two ways:
- After you complete the registration process, the Access your registration button will take you directly to the Applicant portal;
- After you complete the registration process, you will receive an email with a login link and a PIN to access the Applicant portal.
Working on your application
After you log into the Applicant portal, you will see your entry or entries listed on the left side under My entries. You can click on the entry you want to work on and fill out the respective fields and information, upload files, add links, etc., depending on the program organizer’s requirements.
Copying data across applications
You also have a Copy from application option visible on the Applicant portal that allows you to use data entered in another entry with the same application form fields to pre-fill the corresponding fields on the entry you are currently working on. If you have more than one entry you can copy the information from, you will need to select the one you want from a list. The system will then ask you to confirm your decision to overwrite the application data.
Saving your application without submitting
You have the option to save your work on the Applicant portal without submitting it for review and submit it at a later time. To do that, click on the Save as draft button at the top right corner of your screen. The system will display a message that the application was saved as a draft.
You can resume working on your entries by clicking on the Edit button at the top right corner of your screen.
Submitting and resubmitting your application
After you have finished working on your application and are ready to submit your entries for review, click on the Submit button at the top right corner of your screen. The system will display a confirmation message that your application was sent for review.
IMPORTANT: If the program requires payment at submission, clicking the Submit button will open a window that allows you to complete the payment process.
If the program organizer requires you to resubmit your application or make changes to it, you will see a Resubmission requested or Changes requested message on the Applicant portal. You can resume work by clicking the Edit button and then resubmit by clicking the Submit button.
Adding an entry
If the program organizer has made this option available to you, you will be able to add an entry or entries by clicking the Add entry button on the left side under My entries. Clicking on the button will open up a menu with options. Select the one you want and click Add entry.
Note that if the new entry you have added is paid, the Applicant portal will display a payment option at the bottom left of your screen.
Changing an entry category
If the program organizer has made this option available to you, you will be able to change the category of your entry. To do that, click on Edit, and then then the pen symbol next to the category name. This will open a menu with options, select the one you want and click Change category. The system will display a warning and ask you to confirm your choice.
Entry color coding
Each entry has a colored circle next to it indicating its status as follows:
- Orange — the entry has not been submitted, meaning, it’s either in draft, or changes or resubmission have been requested;
- Blue — the entry has been submitted for review but has not been reviewed yet;
- Green — the entry has been approved by the program organizer;
- Red — the entry has been rejected by the program organizer.
Payment through the Applicant portal
If the program requires payment at or after submission, you can complete it through the Applicant portal by clicking on the Pending payment message at the bottom left corner of your screen, which will open a window allowing you to complete the payment process.
